DRF Program Roles

Roles determine what functionality a participant will have in a Program. Part of the enrollment process is to assign roles, so it is important to have a basic understanding of the four roles in the DRF Program.

The Author is responsible for creating work and submitting it via the Directed Response Folio. The Author can also start the collaborative process by requesting feedback from the Reviewer. Authors access the DRF from their home page.

The Reviewer is responsible for providing feedback and comments on work shared by an Author. The Reviewer can access work for review from their home page. This role is optional in the DRF Program). Even when a DRF includes Reviewers, not all Authors can request Reviewer feedback.

Evaluators provide formal assessments on work submitted to the Directed Response Folio (DRF) using the evaluation methods assigned by the DRF Template creator. The Author initiates the evaluation process by submitting sections of their DRF for evaluation. Evaluations can occur at the category or requirements level in the DRF. The Evaluator can access work for evaluation from their home page.

The Evaluation Manager is responsible for creating, setting up, and managing the Program. There are three types of permissions within the Manager role:Program Management, Evaluation Management, and Generate Reports.
  • Program Management: The creator of the Program is automatically assigned the Program Management permission which includes Program setup, enrollment, and grouping.  
  • Evaluation Management: The Evaluation Management permission includes three distinct privileges that can be assigned separately.

Overview Evaluations (View, edit, release evaluations at any time): Enables an Evaluation Manager to review evaluations and release/send evaluations to Authors. Giving an Evaluation Manager this privilege is useful when Evaluators are not given the permission to release their evaluations to Authors. This permission also enables the Evaluation Manager to edit evaluations at any time.

All-Access Evaluator (Evaluate any submission): Allows an Evaluation Manager to evaluate any submission within the Program.

Reconcile Evaluations (Reconcile any submission): Enables an Evaluation Manager to reconcile any submission for which multiple evaluations have been completed. Reconciliation is required for all multiple evaluation cases.
  • Generate Reports: A Manager with the permission to generate reports will be able to generate activity and performance reports about Program participants.
