Information on Subscriber Accounts Reports

About Subscriber Accounts

TS Coordinators can use the Subscriber Accounts area to view real-time login, site activity, and registration reports in your administrative area. The TS Coordinators can also send a request to designate a new TS Coordinator for their organization.

Links to these areas can be found in a box on the right-hand side of the TS Coordinator Main Menu page.

 

 

Summary of All Accounts

The Summary of All Accounts tab displays the number of accounts created.

The table will display information sorted by calendar year or school year depending on the option selected in the Sort by pull-down menu.

 

Summary of Key Code Accounts

The Summary of Key Code Accounts tab will list all of the key codes in use by an organization. This area will display the key code description, the number of accounts used and allotted under this key code, the subscription length, and the key code creation and expiration dates.

Click the View buttons to see a list of subscribers who have used the key code.

This area displays each subscriber’s external ID (if collected by the organization), start date, expiration date, last login, total logins, history, and account status.

To export this data as a Microsoft Excel document, click the Export to Excel link.

Click a subscriber’s name to view their subscriber and personal information page.

The View button in the History column will display a record of each login for that subscriber.  Each login record consists of the date and time the subscriber has logged into Taskstream.

Advanced Subscriber Reports

You can generate additional reports from the Advanced Subscriber Reports tab.

To generate a report, first choose whether you would like to search by all subscribers or by a specific key code. You may choose to search the subscribers who have registered during a certain time period, those who have accounts expiring during a certain time period, or those who are registered within a particular folder. Click the Search button to generate the report.

NOTE: Each organization’s structure will be unique, thus producing different options for searching by folder.

The search results will contain each subscriber’s name, external ID (if collected by the organization), start date, expiration date, last login, total logins, history, and account status. Click a subscriber’s name to view his/her personal information page.

The View button in the History column will display a record of each login for that subscriber. Each login record consists of the date and time the subscriber has logged into Taskstream.

 

Registration Reports

When you click the Registration Reports link from the TS Coordinator area, you will launch the Report Generator.

Use the Search box or the Member Locator to locate individuals within your organizational structure.

The Member Locator provides several different ways to browse through your organization’s subscriber lists.

You can click Select Categories/Local Areas to browse the expanded registration folder structure.

You can click the folders to expand a specific section. To view the subscribers within specific folders, select the folders and click the Search button. The subscribers located within the selected folders will appear in the right frame.

You can also choose to browse through the Program enrollment by clicking Select Taskstream Programs.

If you are a Site Coordinator and your organization is collecting demographic information from subscribers, you will be able to search using demographic information. To do this, click Filter by Demographics and then select the demographic responses by which you would like to filter the results.  

To expand all of the search options, click the Expand button. To collapse all of the folders, click theCollapse button.

You can also generate various reports on all of the members in your organizational area. Select a report from the View Preset Reports pull-down menu and then click the View Reports button to view that report.

TS Coordinator permissions are granted at the discretion of the lead contact/Taskstream Coordinator at your organization.
