How Do I Edit an Existing Form?

Open an Existing Form
On the Form & Survey Builder home page, your existing forms are listed below the Create New Formarea. The contents of this list reflect your most recent filter choice. You can  change your filter at any time.Forms can be filtered by folder or status:

All forms
Recently edited forms (i.e. forms that you have accessed in the last 30 days)
Forms stored within one of your custom folders.

To change the form filter

Select the folder or status from the pull-down Filter by folder list.
Click the Update List button.

Forms are described by title and listed in alphabetical order. If a description was included for the form at the time of creation, it is listed below the title.

To quickly locate a specific form, enter a full or partial form title in the Search by Titlefield and click Search. The results include all forms (independent of filter currently applied on the page) that match that title.Icons, displayed to the right of each form title, indicate whether the form is currently in use in Taskstream, has been shared or is stored in a custom folder.Icon Definition

The form is shared, allowing other TS Coordinators from your organization to import theform into his or her own account.

Using the function buttons on the right side of the home page, you can manage your forms in several ways.

To Edit an existing form

When you click the form title (link) OR the corresponding Edit button, a system check is performed to determine whether or not this form is currently in use.

If this form is NOT currently in use, you are navigated directly to the Build Form page.

If this form is currently being used as a standalone survey OR is attached to a DRF template as a submission requirement and/or an Evaluation method, you will be alerted. The alert message includes a list of all areas where the form is being used, and in which capacity.

You will only be able to make changes that do not cause loss of data. Because changes are applied to the form as soon as you make them, it is recommended that they are made only at low usage times.

If you DO NOT want to continue, click Do Not Edit - Back to All Forms & Surveys to return to the Form & Survey Builder home page.

To continue editing the selected form

Click Proceed with Editing Form/Survey. You are navigated to the Build Form page.

The Build Form page displays the current makeup of the form.

 To see how your form will appear to people who are asked to fill it in, click the Preview button.

Just as when you create a new form, you can:

add new form elements,
import elements from other existing forms,

and/or

move, copy or delete elements from your form.

To Copy an existing form

The Form & Survey Builder Copy function enables you to make a copy of an existingform and adapt it for another purpose.

Changes made to the copy DO NOT affect the original form.

To create a copy of a form

Click the related Copy button. You are navigated to a Save/As Copy Form page.
Enter form title for this new copy (maximum of 100 characters).
Optional) Edit description/purpose information for this form in the field provided (maximum of 2,000 characters)

If you decide to share the form, the contents of this description field will be visible to other TS Coordinators. It will not, however, be visible to people who are filling in the form.

(Optional) If you have created custom folders to organize your work in Taskstream, you can choose to file this form in one of these folders by selecting the folder name from the Add to Folder pull-down list.
(Optional) Check Spelling of your text.
(Optional) To quit your action, click Cancel.
Click Save Changes.
You are navigated back to the Form & Survey Builder home page.

Continue to Edit the new copy as you would any other form.

To Rename an existing form

When you click the Rename button, you are navigated to a Rename Form page.

Enter your new title in the Edit form title field (maximum of 100 characters).
Optional) Edit description/purpose information for this form in the field provided (maximum of 2,000 characters)

If you decide to share the form, the contents of this description field will be visible to other TS Coordinators. It will not, however, be visible to people who are filling in the form.

(Optional) If you have created custom folders to organize your work in Taskstream, you can choose to file this form in one of these folders by selecting the folder name from the Add to Folder pull-down list.
(Optional) Check Spelling of your changes.
Click Save Changes to complete the renaming process. You are navigated back to the Form & Survey Builder home page.

To Delete an existing form

Click Delete. An alert appears to confirm deletion of the form. 
Click OK to confirm that you want to PERMANENTLY DELETE this form.

 You CANNOT delete a form that is attached to a DRF Template or used in a survey launch.
